Process for Student, Part-Time, & Temporary Hires

Initiate the Process

  • Please make sure you have a vacant position number. If not request one.
  • If a manager would like to post the job, please submit the Student Job Template for posting on handshake ( the system used for students to apply for jobs).
  • Manager Sends the Completed New Hire Personnel Form

Process for students assistants, work study, and temporary (temp) hiring

  • Make sure you have a vacant position number, if not request one NOW, as this can take some time to repurpose. .
  • If a manager would like to post the job, please submit the form attached for posting on Handshake (Handshake is the system used for students to apply for jobs).
  • Manager sends the completed New Hire Personnel Date Form to cfavors@gsu.edu If you are hiring a work study student, please verify work study funding has been awarded to the student by requesting a copy of the award letter from the student.
  • IIT HR submits the Manager Self Service (MSS) Transaction. (This is the request to Central HR to formally hire the candidate).
  • IIT HR submits a request for background check report on the candidate.
  • IIT HR sends an email to the candidate with onboarding instructions and a notice to look out for website links from Azure and Accurate (outside companies) for information they need to complete as soon as possible because the links expire.
  • Candidates will make an appointment with Central HR to submit the necessary I-9 documents (Original documents only, NO COPIES- original documents submitted in person at Central HR).
  • Manager will receive a notification from IIT HR when the employee is in OneUSG and a background check is completed. At that point, the employee can begin to work.
  • NO employee works until they have been added to OneUSG AND have a completed background check.
  • Make sure before the employee starts to work, that they are able log into OneUSG for timekeeping purposes and has direct deposit set up.
  • Onboarding is complete, and the manager can communicate student schedules and training.

*Managers- Any students not enrolled for the Summer Semesters and would like to work must notify IIT HR of switching to a Temp Position!

Complete the Process

  • The manager will receive a notification when the employee is hired and a completed eligible to work background check has been returned.
  • The manager should not let a candidate start work without a completed eligible to work background check. The employee must also be hired in OneUSG before the first day of work.
